Frontdesk answers phones for small businesses. That means we handle calls, bookings, and messages on their behalf. This page says exactly what we collect, why, and what we will never do with it.

  • Who we are

    Frontdesk is a virtual receptionist service operated from New Zealand, serving businesses in New Zealand and the United States. When we say "you" we mean either a business using Frontdesk or a caller reaching a business through it.

  • What we collect

    From businesses: account details (name, business name, contact details), business hours, services offered, and the settings that shape how your receptionist answers.

    From calls: recordings, transcripts, caller phone numbers, and the details a caller gives the receptionist (name, callback number, job details, addresses). Every call opens with a disclosure that it is an AI assistant on a recorded line.

    From bookings: appointment details — who, what, when — needed to place the booking and confirm it.

    From messages: delivery records for the SMS notifications we send (confirmations, summaries, booking requests).

  • How we use it

    To run the service: answering calls, taking messages, booking appointments, and sending the related notifications to the business owner and the caller.

    To operate the business: billing by usage, monitoring call quality, and investigating problems.

    We do not sell personal information. We do not use call content or booking data for advertising.

  • Google Calendar data

    If a business connects its Google Calendar, Frontdesk requests two permissions: reading free/busy availability, and creating, updating, or deleting the booking events the receptionist makes. We do not read the content of other events, and we never access calendars the business has not connected.

    Frontdesk's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google Calendar data is used only to check availability and manage bookings the business's receptionist makes. It is never transferred or sold to third parties, never used for advertising, and never accessed by humans except with the business's explicit consent, for security purposes, to comply with law, or as part of aggregated anonymised operations.

    A business can disconnect its calendar at any time from its settings or by revoking access at myaccount.google.com; we then delete the stored tokens.

  • SMS and phone numbers

    Frontdesk sends transactional SMS only: booking confirmations, call summaries, and booking requests tied to a call or appointment you were part of.

    Mobile numbers and SMS opt-in data are never shared with, or sold to, third parties or affiliates for marketing or promotional purposes.

    Reply STOP to any Frontdesk message to stop receiving messages. Message and data rates may apply depending on your carrier.

  • Retention and deletion

    Defaults: call recordings are kept 90 days, transcripts 24 months. Businesses can configure shorter periods. Bookings and billing records are kept while the account is active and as required by law.

    To have your data deleted, contact us with the phone number involved. Deletion covers recordings, transcripts, and identifying details, on our systems and our processors', and is logged. Anonymised usage records may be retained.

  • Who we share with

    Only the processors needed to run the service: the voice-AI platform that powers conversations, the telephony and SMS carriers that connect calls and deliver messages, and the hosting and database infrastructure the product runs on. Each receives only what its role requires.

    We disclose data beyond that only if the law requires it.

  • Security

    Data is encrypted in transit. Access is scoped per business, credentials are held in secured configuration rather than code or database, and webhook traffic is signature-verified.

  • Your rights

    You can ask what we hold about you, ask for corrections, and ask for deletion. New Zealand users are covered by the Privacy Act 2020 and can complain to the Office of the Privacy Commissioner; US users have the rights their state provides.

  • Changes and contact
